    We are looking for a Legal Operations Supervisor to support our global organization. The Legal Operations Supervisor will report to the General Counsel and will work closely to support a dynamic international legal department by leading in the execution of key projects and assisting in the development of departmental priorities.

     

    The ideal candidate will possess excellent interpersonal skills along with the drive and creativity to identify and deploy best-in-class operations processes, tools and technology in the legal department. This individual will work to develop strong productive relationships with professionals in other business units and work cross functionally with professionals in the Finance, IT and Compliance divisions at Bio-Rad. The Legal Operations Supervisor will also manage, train and supervise legal administration associates and provide as needed administrative support to the General Counsel.

    Responsibilities

    Leadership/Operations:

    • Plan, coordinate and participate in annual department strategic planning meeting, drive improvement initiatives.
    • Responsible for driving best practices, standardization of communications, policies, procedures, processes and IT systems to enable efficient and effective delivery of legal services, including overseeing the strategy, implementation and optimization of the departments IT technology solutions, utilization, human assets and data management.
    • Manage projects and working groups, supervise, train and motivate the Legal Department administrative staff (initially the position will supervise two associates).
    • Build strong relationships across Bio-Rad with the General Counsel and Leadership team to develop formal and informal lines of communication with various levels of management within and outside Legal.
    • Own, oversee and manage new-hire onboarding and orientation for legal department staff.
    • Create, develop and manage programs for Continuing Legal Education and Legal research, maintain library tools/ subscriptions.

    Process (Tools and Technology):

    • Administrator of department technology solutions; identify, evaluate, implement, upgrade, test, train and support technology solutions; develop technology roadmap; deliver reports/metrics from applications, manage technology budget.
    • Utilize IT resources to develop new communication strategies, tracking tools and reports to aid in data collection, analysis and strategic planning to achieve superior quality results.
    • Manage legal vendor process and matter management; review of outside counsel billing guidelines to ensure enforceability.
    • Identify and deploy best-in-class operations tools and technology for the legal department, develop and manage operations process with an approach and mindset on continuous improvement.
    • Own and drive the development of monthly and quarterly business metrics to derive operations strategy and provide operational analysis through reports and dashboards.
    • Stay up-to-date on industry best practice and leading legal tools and technology to optimize legal operations strategy, execution and support.
    • Act as System Owner/Admin for legal department tools and technology, including E-Billing, Budgeting, Intellectual Property Management, and Knowledge Management.

    Vendor Management/Finance:

    • Manage key law firm and vendor relationships, including negotiating fee arrangements.
    • Manage the Legal Department's budget and forecasting processes, and regularly update and monitor the budget to effectively control costs.
    • Manage and own the payment of legal invoices through the Company’s SAP system and the cross-charging of costs to the Company’s various cost centers.

    Special Projects:

    • Complete ad-hoc and special projects as requested/required by the Legal Leadership Team and the GC, including for the Board of Directors and Board Committees.
    • Address internal department management needs including facilities management, planning and coordinating logistics for departmental off-sites, and leading the department’s goal setting process and ongoing tracking.
    • Create legal operational consistency across new and existing locations and coordinate support of the legal function in global locations, assist in the establishment of additional legal divisions in Bio-Rad’s new locations, ensuring the consistency of legal operations/support globally.
    • Coordinate monthly Legal Department meetings.
    • Manage the Legal Department calendar.
    • Provide administrative support to the General Counsel as needed.

    Qualifications

    • 10+ years of legal industry experience, including at least 5+ years of senior level experience.
    • Expertise with legal software tools, including Legal Tracker.
    • Proven business acumen and demonstrated management, organizational and staff administration experience.
    • Strong analytical problem solving and decision making skills required, excellent communication, including strong presentation skills and executive presence desired.
    • Ability to build relationships internally as well as externally.
    • Ideal candidate will have demonstrated an ability to manage a fast-paced, highly collaborative (fortune 1000+) international legal department’s operational needs.
    • Experience with law department operations and technologies, including but not limited to: matter management, e-billing, document management, discovery management and contract management.
    • Ability to coordinate and manage complex cross-functional projects given multiple competing priorities or perspectives.
    • Strong consultative and solution oriented mindset, treating everyone as a preferred customer.
    • Organizationally savvy and diplomatic, understanding culture, climate and ways of working across and organization; ability to read people and navigate relationships.
    • Ability to manage ambiguity, risk, and changing direction of projects and strategies high-pressure situations that require sound decision making and may involve confidential or sensitive matters.
    • Creative and critical thinker and problem solver who is not afraid to challenge status quo.
    • Ability to achieve business results through influence, executive presence, strategic thinking, effective and creative problem solving skills and diverse views.
    • Ideal candidate will have experience working in the biotechnology or FDA-regulated industries; or will have worked within a legal department with a large focus on intellectual property.
    • Experience with SAP desired.
    • Deep knowledge of and demonstrated experience in implementing and managing core legal systems, including E-Billing, Intellectual Property Management, and Knowledge Management.
    • Mastery of intermediate finance concepts and processes, gained through education or experience (owned and managed a department budget).
    • A. or comparable education/ experience, preferably with a focus on Law or Business Administration.
    • Mastery of Microsoft applications including Outlook, Word, PowerPoint, Excel; as well as project management applications such as Microsoft Project and Visio.
    • Experience simultaneously driving multiple projects, and identifying, prioritizing and resolving key business issues.
